About the team
The Property Services team sits within the Finance function and is responsible for managing AICD’s premises nationally. The team oversees property leases, office fit-outs and property projects, ensuring all locations are safe, functional and fit for purpose. Working closely with landlords and suppliers, the team supports the smooth day-to-day operation of AICD offices through effective facilities and maintenance management.
About the Role
We are seeking a proactive and hands-on Facilities Coordinator to join our team. This role will support the Property Manager and Head of Finance with the day-to-day coordination of property and facilities operations across AICD’s offices nationally. You will play a key part in ensuring offices remain functional, safe, and welcoming for staff members and learners, while assisting with property-related projects and administrative tasks. This is an exciting opportunity to join a busy, fast-paced team with significant property activity, including the implementation of national property initiatives.
Key Responsibilities
- Coordinate day-to-day property and facilities tasks across offices nationally, including maintenance, repairs, and vendor management.
- Manage the Property inbox and channels, ensuring requests are tracked and actioned efficiently.
- Raise purchase orders, manage associated administration, and maintain accurate property records.
- Support property-related projects, such as office moves, fit-outs, and other initiatives, providing administrative and operational assistance.
- Liaise with internal stakeholders and external suppliers to ensure offices operate smoothly and meet safety and compliance standards.
- Attend meeting with building management as required.
- Contribute to process improvements, helping streamline property operations and enhance communication flows across stakeholders.
- Assist with reporting and tracking of maintenance, property costs, and compliance-related activities.
- Identify and escalate OH&S issues, contributing to risk mitigation and promoting a safe workplace environment.
About you
You will have strong technical aptitude and previous relevant experience, and you will champion the AICD values of: Accountability, Respect, Excellence and Collaboration. In addition, you will also have the following:
- Minimum of 2 years’ experience in facilities management, property coordination, or a related field.
- Strong administrative skills with a proactive, hands-on approach.
- Excellent organisation and prioritisation abilities, with the capacity to manage competing, reactive requests.
- Comfortable working in a dynamic environment where processes are still being formalised.
- High level of discretion, professionalism, and strong interpersonal skills.
- Effective communication skills and the ability to collaborate across teams.
- Experience with financial processes, including raising purchase orders and reconciling expenses, is desirable.
- Ability to travel to other office locations occasionally as required.
