About the team

The Education Operations team manage faculty operations, scheduling, resource and workforce planning to support successful course and event delivery. The team oversees core education systems and processes for learners, faculty, and staff. They also design, develop, and deliver assessments across all relevant AICD courses.

 

About the role

As the Faculty Operations Coordinator, you will deliver end-to-end administrative support across faculty operations, ensuring processes run smoothly and stakeholders are well supported.

This is a hands-on role with a strong stakeholder focus, where you act as a central coordination point for enquiries, requests, and operational processes. You will manage and triage incoming enquiries, prioritise requests, and maintain high service standards across financial administration, inbox management, and faculty coordination.

Your remit will be broad and will include:

  • Act as a key point of contact for faculty, providing timely and professional support via email and phone
  • Manage the shared inbox and ServiceNow requests, triaging and responding to enquiries
  • Coordinate faculty travel bookings, balancing cost efficiency and operational needs
  • Manage end-to-end invoicing processes, including raising purchase orders and reconciling invoices
  • Coordinate faculty communications, including the monthly Faculty newsletter
  • Maintain accurate faculty records across multiple systems including CRM, SharePoint and Engage scheduling system
  • Support faculty contracting, onboarding, and documentation management
  • Order course materials and coordinating delivery of resources
  • Provide ad hoc reporting and extracting data from various systems
  • Support continuous improvement of processes and systems

Desired Skills and Experience

About you

You will have strong technical aptitude and previous relevant experience, and you will champion the AICD “OneTeam” approach and values of: Accountability, Respect, Excellence and Collaboration. In addition, you will also have the following:

  • Strong administration or coordination experience in a high-volume environment
  • Previous experience in an educational environment is desirable
  • Experience in financial administration (invoicing, purchase orders, reconciliations)
  • Excellent attention to detail and ability to manage manual processes accurately
  • Strong time management skills, with the ability to manage competing priorities and deadlines
  • Confident communication skills, with the ability to work with a wide range of stakeholders
  • Experience managing shared inboxes or service requests
  • High level of system confidence, with experience using shared inboxes (e.g., CRM, SharePoint, finance systems)
  • A proactive approach with strong problem-solving capability
